Newsletter Distribution via Cvent eMarketing

Use this section to prepare and sent the email that contains a link to the newsletter.

1. Go to https://app.cvent.com and log in to the Cvent Admin panel. CLICK HERE for IDs and passwords.

2. Pull down the Solutions menu at the top of the page, then select eMarketing.

3. Click on Campaigns in the blue menu bar.

4. Click on 'Your RMFW Monthly Newsletter' campaign.

5. Click on the Create Email button.

6. Click on Copy an Existing email.

7. Choose the 'Your RMFW Monthly Newsletter' from the Campaign pulldown menu.

8. Choose the last newsletter from the Email pulldown menu, then click on Next.

9. Change the subject to the current month, then click on Next.

10. Within the message text, right click on the Click here link, then select Remove Link.

11. Highlight Click here, then page up and click on the Insert tab (beside the Home tab).

12. In the Links section, beside Hyperlink Manager, click on the document icon.

13. Double click on the Monthly Newsletters folder.

14. Click on the + Add File link,find the new newsletter and upload it to the folder.

15. After the file has uploaded, select it, change the Name field to 'Click here' and then click on the Insert button.

16. Change the title and features in the email content as needed.

17. Click on the Next button.

18. Page down and first click on Copy from HTML Email, then click Save and Finish.

19. Send yourself a test email and make sure the link and content are correct. To do this, pulldown the Send Email menu on the right side and click on Test Send to Someone Else.

20. Under Type, select Email Address. Under Recipient, add your email address. Click on Confirm Test Send.

21. Come back and make changes to the email as needed.

22. When you're ready to send the email, click on Send Email, then Schedule Send.

23. Select the Members checkbox, then click on Search.

24. Click on Schedule Send and complete the scheduling to send the email.

Newsletter Library in Cvent

This procedure provides instructions to upload newsletters to the library, find past newsletter in the library, and copy the link to download newsletters.

1. Go to https://app.cvent.com and log in to the Cvent Admin panel. CLICK HERE for IDs and passwords.

2. Click on the gray Admin button in the upper-right of the screen.

3. Click on Libraries in the blue menu bar.

4. On the left side of the page, click on Documents under the Section Links.

5. Double click on the Monthly Newsletters folder to access uploaded newsletters.

6. Need to upload a new newsletter? Use the +Add File link above the list of documents to upload the new newsletter.

7. Need a link to a newsletter in the libray? Double click on the newsletter, page down to Additional Information to find the link to the newsletter. Copy and paste it as needed.

Managing the Newsletter Archive Page on Cvent

Follow the steps in this section to manage the newsletter archive page. You'll use this procedure to add new newsletters to the archive.

1. Go to https://app.cvent.com and log in to the Cvent Admin panel. CLICK HERE for IDs and passwords.

2. Click on the gray Admin button in the upper-right of the screen.

3. Click on Websites in the blue menu bar.

4. Click on Rocky Mountain Fiction Writers in the list of websites.

5. On the left side of the page, click on Web Pages under the Section Links.

6. In the list of pages, click on the edit icon beside Newsletters.

7. Go to the Presentation Options tab to add/change page content.

8. Under First Section, click on HTML button. An edit window pops up.

9. Highlight the month's newsletter you're adding, then click on the Insert tab at the top of the window, beside Home.

10. In the Hyperlink Manger section, click on the Insert Document icon.

11. In the popup window, open the Monthly Newsletters folder.

12. Select the newsletter you're adding, then page down, change the name field to the correct month, and click on Insert.

13. Back on the HTML Editor page, click on Save. (You may need to page down to see the button.)

14. Back on the Presentations Options tab, click on Save.

15. Go to the Cvent website for members (http://www.cvent.com/d/7rqn24/3W) and log in.

16. Click on Newsletters in the black bar.

17. Click on the new link you just added and make sure the correct newsletter open.

How Members Access the Newsletter Archive on Cvent

This is the page the members access to download current and archived newsletters.

1. To access the newsletter archive accessible by members, go to http://www.cvent.com/d/7rqn24/3W and log in using your membership account.

2. Click on Newsletters in the black menu bar. Lists of current year's and past years' newsletters display on the page.
